Scheduling Series for the 2011/2012 School Year

PowerScheduler: Scheduling Process and Timeline

  Who to attend: District & Building Administration, Building Schedulers, Counselors and Secretaries
Date: November 3, 2011
Time: 8:30 am – 11:30 am
Where: MISD Central Training Room 100

Description: We will cover the “Scheduling Process” in PowerSchool, including a timeline for scheduling tasks and calendars to schedule the specific tasks. We will cover:

 

  • important dates
  • preliminary tasks (curriculum review, etc.)
  • Auto-Scheduler setup for new year (courses, teachers, rooms, students, current school schedule)
  • student course request entry
  • tally requests
  • determining sections
  • determining staffing
  • options for building a new schedule or using the current schedule
  • loading students into the schedule
  • moving to “Live-Side” Walk-in scheduling for the new school year.

We will also be discussing the information that Liaisons and Building Schedulers will need in January, 2012 in order to begin scheduling for the new school year. We will need to know the dates (preliminary) for the school year, what Terms (semesters, trimesters, quarters) you will use, dates for the Terms (semesters, trimesters, quarters), how many periods in a regular school day, and how many days in your rotation.

PowerScheduler: PS Liaison Training: PowerScheduler Process: Session 1

 

Who to attend: PowerSchool Liaisons and (optional) if they choose, a Building Scheduler from one of their District's Schools.
Date: December 14, 2011
Time: 8:30 am - 4:00 pm

Description: PS Liaisons will be given an overview of the first part of the PowerScheduling Process, including:

  • Auto-Scheduler setup
  • Prepare to Build setup
  • Tally and Staffing
  • Validating the Master Schedule
  • Beginning to Build the Master Schedule.

This training is meant to prepare them for going through the PowerScheduling Process (PowerScheduler: Scheduling Series 2012-2013) starting in January 2012. They will be expected to attend the Scheduling Series Workshops with their Districts Schools.

PowerScheduler: PS Liaison Training: PowerScheduler Process: Session 2

  Who to attend: PowerSchool Liaisons and (optional) if they choose, a Building Scheduler from one of their District's Schools.

Date: December 15, 2011  
Time: 8:30 am - 4:00 pm

Description: PS Liaisons will be given an overview of the second part of the PowerScheduling Process, including:

  • Completing the Building the Master Schedule
  • Importing the Master Schedule
  • Validating the Load
  • Loading Student Schedules
  • Evaluating the Load
  • Importing the Student Schedules
  • Committing the Master Schedule and Student Schedules to the Live-Side.

This training is meant to prepare them to go through the PowerScheduling Process (PowerScheduler: Scheduling Series 2012-2013) starting in January 2012. They will be expected to attend the Scheduling Series Workshops with their Districts Schools.

PowerScheduler: PS Liaison Setup of Auto-Scheduler for all District Buildings

  Who to attend: PowerSchool Liaisons

Description: Liaisons will begin setup of Build Scenario’s at each of a District's Buildings, so that the scheduling process can begin. The District Liaison will need the following information: the dates (preliminary) for the school year, what Terms (semesters, trimesters, quarters) you will use, dates for the Terms, how many periods in a regular school day and how many days in your rotatation.

PowerScheduler: Prepare to Build and Enter Student Course Requests: Workshop #1

  Who to attend: Building Scheduler/Team, Scheduling Secretary, and PS Liaisons
Date: February 10, or 13, 2012- pick only one session
Time: 8:30 am – 4:00 pm

Description: Class will cover:
  • Auto-Scheduler setup of the new scheduling year
  • setting up a Course Catalog
  • course file maintenance
  • entering teacher information
  • entering room information
  • entering student information to the PowerScheduler
  • setting up process for students to select their course requests
  • entering those course requests (required, elective, alternates) into the PowerScheduler.

PowerScheduler: Prepare to Build - Tally of Student Course Requests to Determine Sections and Staffing: Workshop #2

  Who to attend: Building Scheduler, Central Office Administrator, and PS Liaisons

Date: March 20 or 22, 2012 - pick only one session
Time: 8:30 am – 11:30 am
Where: MISD

Description: Class will cover:

  • evaluating (drops, adds, alternates) course requests
  • using requests to determine number of sections needed for the new scheduling year
  • using the number of sections to predict staffing
  • using the number of sections and staffing information with departments to determine tentative teacher assignments, in preparation for either building a new course schedule or using/editing the current course schedule.

PowerScheduler: Building the Master Schedule: Workshop #3

  Who to attend: Building Scheduler/Team, Scheduling Secretary, and PS Liaisons
Date: April 10, or 16, 2012 - pick only one session
Time: 8:30 am – 4:00 pm

Description: This class will cover:
  • how to use the section to be scheduled and teacher assignment information to build or create a master schedule
  • copying and editing an existing Master Schedule by hand
  • enter teaching assignments or course assignments
  • defining course relationships
  • using build constraints
  • building a course rank
  • loading the scheduling engine
  • validating and preparing to build the master schedule
  • running post-build reports to evaluate build and importing the master schedule

  Who to attend: Building Scheduler/Team, Scheduling Secretary, and PS Liaisons
Date: May 9, or 17, 2012 - pick only one session
Time: 8:30 am – 4:00 pm

Description: This class will cover the prepare to load process, including:
  • validating the information in scheduling files
  • running a load to create student schedules
  • importing the schedules
  • evaluating the load (making changes in sections)
  • running post-build reports
  • manually adjust student schedules
  • the Commit process that moves the master schedule and student schedules to the Live-Side to begin the school year.

Description: This class will cover the setup necessary for creating elementary schedules using just AM & PM classes OR using AM & PM classes plus other Core and Elective classes by using Dependent Sections. This workshop will be split into 2 sessions: one session will discuss the setup of Elementary Schedules, and the second session will actually assist with scheduling of students into classes.
