Utility: Prepare for Medicaid Submission

WARNING:
THIS UTILITY MUST BE USED FOR MEDICAID FILE
CREATION.
THE REGULAR ROSES BACKUP UTILITY CANNOT
BE USED TO PREPARE ROSES DATA FOR MEDICAID
TRANSMISSION.
- Speeds up transmission of ROSES data
to MISD by reducing file size.
- Selects only active students and
students who exited in last year.
- Compacts file and checks for
corruption.
- Places file in a pre-selected folder.
- This is the folder from which the
Medicaid File will be sent by local
school districts.
OR
- This is the folder from which the
Medicaid File will be plucked at Macomb
ISD sites.
To get there:
From the Main ROSES Menu, select:
Utilities
From the Utilities Menu select:
Current ‘Data’ Database
From the Current ‘Data’ Database
Menu, select: "Prepare for ISD Submission."
Reminder: Make sure that nobody else
is using ROSES before you run this utility.
- Check that the destination folder is
correct:
Reminder: The destination folder
must already exist. This utility will not
create it.
For MISD local districts, this
should be C:\HyperSend Outbox\
For Macomb ISD-operated schools,
this should be the ROSES Application folder
as displayed in Utility ->Current Session
Settings.
- Check the default date that appears on
this screen:
This utility is designed to EXCLUDE
students who have exited before a
given date.
This date thus only INCLUDES students who
exited after that date.
Normally, the date is one calendar year
before today’s date.
NOTE: USE THIS DEFAULT DATE FOR MOST
MONTHLY TRANSMISSIONS.
If necessary (under special Medicaid
circumstances), you may need to modify this
date.
Click on [Cancel] to abort this utility.
Click on [Run] to perform the operation.
When done, you will receive a
confirmation message indicating the path to
where the file was created. Click [OK] to
continue.
You will be shown an information box
indicating the:
Active Student Count
Active Service Count
Active VIP Count
Active Meeting Count
This box will also ask you "Do you
want to print the Compact Status
Report?"
Choose [Yes] since this report may be needed
by the Medicaid Project staff to verify the
file counts they received from you.
Choose [No] to exit this Utility.
Compact Status Report:
This report is used by ROSES and
Medicaid Project staff to review the history
of Medicaid File creation from your site.
IMPORTANT: If
there is a NEW message in the FAR RIGHT
COLUMN of the Compact Status Report, contact
a ROSES programmer immediately.
Please save this report with your
Medicaid information.
ALSO IMPORTANT:
This utility
will abort if your database is corrupt and
unusable for Medicaid submission. You will
receive a message instructing you to
immediately contact a ROSES programmer for
assistance.
When you are done printing the report,
you will be reminded that when you click
[OK] the ROSES application will close.
If you are a local MISD Public School
District using ROSES,
click
here to go to Step 2 of the Medicaid
Submission Process.
If you are an
MISD-operated ROSES site, you are done.
The Medicaid file you created will be pulled
from your building via the network.
If you are TBAISD
your are done. The files are now ready
for merging and processing with Master
ROSES.
